  1. INTRODUCTION

CompetifyHub is a 501(c)(3) nonprofit organization that provides free math and STEM competition resources and operates the Research Equipment Lending Library (RELL). This Privacy Policy explains what information we collect, how we use it, and the choices you have. It applies to our website, program applications, surveys, and any other CompetifyHub service that links to this policy.

Because many of our participants are middle school and high school students, we take extra care in how we collect and use information from minors. If you are a parent or guardian, please read Section 7 below.

  1. INFORMATION WE COLLECT

We collect information in the following ways:

Information you provide directly. This includes your name, email address, school name, grade level, and any other information you submit through program applications, host school agreements, volunteer sign-up forms, surveys, or donation forms. It may also include testimonials, photos, or feedback you choose to share with us.

Information from schools and teacher sponsors. When a school or teacher sponsor participates in RELL, we may collect the school’s name, address, Title I status, administrator and teacher contact information, and information about student participation for program reporting purposes.

Donation information. If you donate to CompetifyHub, we or our payment processor may collect your name, contact information, and payment details. We do not store full payment card numbers ourselves.

Website usage information. Like most websites, our site may automatically collect limited technical information such as browser type, device type, and general usage patterns through cookies or similar tools, where applicable.

  1. HOW WE USE INFORMATION

We use the information we collect to:

  • Operate and administer our programs, including RELL equipment placement and tracking
  • Process volunteer and program applications
  • Communicate with students, parents, teachers, and volunteers about programs
  • Evaluate and improve our programs through surveys and outcome tracking
  • Prepare grant applications and reports to funders, using aggregated or de-identified outcome data where possible
  • Process and acknowledge donations
  • Comply with legal obligations as a nonprofit organization
  1. HOW WE SHARE INFORMATION

We do not sell personal information. We may share information in the following limited circumstances:

With host schools and teacher sponsors, to coordinate program logistics and equipment placement.

With grant funders, in aggregated or de-identified form where possible, to report on program outcomes. Where individual stories or testimonials are shared with funders or used in promotional materials, we will only do so with consent, such as through a testimonial field on a survey.

With service providers, such as payment processors for donations or form platforms like Google Forms, who process information on our behalf.

As required by law, if we are required to disclose information to comply with a legal obligation, protect our rights, or protect the safety of participants.

We do not share student information with third parties for their own marketing purposes.

  1. STUDENT INFORMATION AND SCHOOL DATA

Because RELL and our competition programs operate in partnership with schools, some information we collect may be considered education-related information. We collect only what is necessary to operate our programs and to report outcomes to funders, and we limit access to this information to CompetifyHub staff and volunteers who need it to run the program.

Where a host school or district has its own data privacy agreement requirements, CompetifyHub will work with the school to meet those requirements.

  1. DATA RETENTION

We retain personal information for as long as needed to operate our programs, meet grant reporting obligations, and comply with recordkeeping requirements for a 501(c)(3) nonprofit. We may retain aggregated or de-identified outcome data indefinitely for program evaluation purposes.

  1. CHILDREN’S PRIVACY AND PARENTAL CONSENT

Many CompetifyHub participants are under 18. For students participating in RELL or other in-person programs, we require parental or guardian consent before collecting personal information directly from a student, where applicable, or we collect that information through the student’s school under the school’s existing consent processes.

Parents and guardians may contact us at any time to ask what information we have collected about their child, to request corrections, or to request deletion, subject to our program recordkeeping needs described in Section 6.

We do not knowingly collect personal information directly from children without appropriate parental or school consent, and we do not use student information for advertising purposes.

  1. YOUR CHOICES AND RIGHTS

You may:

  • Ask us what personal information we hold about you or your child
  • Ask us to correct inaccurate information
  • Ask us to delete your information, subject to our legitimate program and legal recordkeeping needs
  • Opt out of receiving future communications from us by contacting us directly
  • Decline to have your testimonial, name, or photo used in promotional materials, even if you previously consented

To exercise any of these choices, contact us using the information in Section 12.

  1. COOKIES AND WEBSITE TOOLS

If our website uses cookies or similar tracking technologies, they are used only to support basic website functionality and, where applicable, to understand general usage patterns. Google Analytics and WordPress Analytics are examples of services used.

  1. DATA SECURITY

We take reasonable steps to protect the information we collect, including limiting access to personal information to staff and volunteers who need it. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

  1. CHANGES TO THIS POLICY

We may update this Privacy Policy from time to time. We will post the updated policy on our website with a new “Last updated” date. If we make material changes to how we handle student information, we will take reasonable steps to notify participating schools and families.
